• What types of organizations may request a donation?

  Indy Karting considers requests from qualified nonprofits, public schools, PTOs and PTAs, school-affiliated booster clubs, youth-development programs, youth sports organizations, civic groups, and other established organizations serving the Lowcountry.

  Priority is given to organizations serving Bluffton, Hilton Head Island, Hardeeville, Beaufort County, and nearby communities.

• What does Indy Karting donate?

  Approved organizations generally receive one Indy Karting gift card with a standard value of $50.

  A higher amount may be approved for exceptional requests based on community impact, program availability, and management approval.

• Does Indy Karting provide cash donations?

  No. The standard Community Giving Program provides in-kind gift-card donations rather than cash contributions.

  Requests for cash sponsorships, advertising purchases, event-table purchases, or unrestricted financial support are not handled through the donation-request form.

• What can the gift card be used for?

  Approved gift cards may be used for:

  • Silent or live auctions
  • Raffles
  • Door prizes
  • Fundraising incentives
  • Volunteer or educator recognition
  • Approved community events

  The gift card must be used for the approved organization and purpose described in the request.

• Can an individual request a donation?

  No. The program is intended to support qualified organizations and community programs rather than individuals.

  Requests for personal expenses, tuition, travel, equipment, medical costs, participation fees, or individual fundraising campaigns are generally not eligible.

• Can a youth sports team apply?

  Yes. Youth sports teams may be considered when the request supports a team-wide fundraiser, recognized nonprofit program, school-affiliated booster club, or established community organization.

  Requests intended primarily to pay the expenses of one athlete are not eligible.

• Do we need to be a 501(c)(3) nonprofit?

  Verified 501(c)(3) organizations are eligible to apply, but other qualifying organizations may also be considered.

  Public schools, government programs, PTOs, PTAs, booster clubs, and certain established community organizations may apply when they can provide appropriate documentation.

• What documentation should we provide?

  Depending on the type of organization, supporting documentation may include:

  • An IRS determination letter
  • A completed W-9, when requested
  • Official school or government documentation
  • A letter on organizational letterhead
  • An event flyer or sponsorship packet
  • A link to the organization’s official website or event page

  Incomplete requests may be delayed or closed if the required information is not provided.

• How far in advance should we apply?

  Requests should be submitted at least 15 days before the event.

  30 days’ notice is preferred, especially for larger events or requests that may involve a fundraiser, private event, or broader community partnership.

  Requests for events that have already occurred are not eligible.

• How long does the review process take?

  Completed applications are generally reviewed within 10 business days.

  The applicant will receive updates at the email address provided on the request form. Additional review time may be required when information or documentation is missing.

• Does submitting a request guarantee approval?

  No. Indy Karting receives many worthwhile requests and operates within a limited monthly charitable-giving budget.

  Submitting a complete application ensures that the request will be considered, but it does not guarantee approval.

• How are requests evaluated?

  Requests are evaluated based on:

  • Organization eligibility
  • Local community impact
  • Event purpose
  • Intended use of the gift card
  • Application completeness
  • Amount of advance notice
  • Previous support from Indy Karting
  • Available monthly donation capacity
  • Alignment with Indy Karting’s community priorities

• How often may an organization receive a donation?

  Organizations are generally limited to one approved donation during a rolling 12-month period.

  This guideline helps Indy Karting support a broader range of organizations throughout the community.

• Can we submit a request by phone, email, social media, or in person?

  All requests must be submitted through the online donation-request form.

  Team members at the venue are not authorized to approve donation requests submitted by phone, email, social media, or in person. Using the online process helps ensure that every request is evaluated consistently and fairly.

• What happens after a request is approved?

  The applicant will receive an approval email confirming the gift-card value and next steps.

  Indy Karting staff will prepare the gift card and send a second email when it is ready for pickup. Applicants should not visit the venue to collect a donation until they have received the ready-for-pickup confirmation.

• Where do we pick up an approved gift card?

  Approved gift cards are generally picked up at Indy Karting during the hours and by the deadline provided in the confirmation email.

  The applicant or an authorized organization representative may be asked to present identification or a copy of the approval email.

• Can the gift card be exchanged for cash?

  No. Indy Karting gift cards cannot be exchanged or redeemed for cash.

• Can our organization host a fundraiser at Indy Karting?

  Potentially. Organizations may indicate interest in a fundraiser night, private group event, school event, team event, or gala-style experience on the donation-request form.

• Who should we contact if we have questions about our submitted request?
